The editor: blocks, the / menu and tasks

Write with blocks (headings, checklists, tables, columns, images, videos), work together in real time, mention people and pages, and turn checkboxes into real tasks.

On this page

Every Docs page is built with blocks: a paragraph, a heading, a list, an image. Type and format as you go, and everything saves on its own.

The / menu

Type / anywhere to see the blocks and keep typing to filter them:

  • Basic blocks: Text, Heading 1–3, Bulleted list, Numbered list, Checklist, Toggle, Quote, Callout, Code, Table, Divider, 2 columns, 3 columns and Table of contents.

  • Media: Image, File (PDF or document, up to 25 MB), Video or embed (YouTube, Loom, Figma or Google Drive) and Link preview.

  • Zolu: Task, Task list and Zolu AI.

Markdown shortcuts work too: # for a heading, - for a list, [ ] for a checkbox. You can also paste or drop images straight into the page.

Format and move blocks

  • Select text to see the toolbar: bold, italic, underline, strikethrough, code, link and text color.

  • On a computer, hover over a block to see + (Add a block below) and the handle: drag it to move the block, or click it for Turn into, Duplicate and Delete.

Write together

Several people can edit the same page at once. You'll see each person's cursor with their name and their faces at the top of the page. If you lose your connection, keep writing: Zolu saves when you're back.

Zolu keeps a version every 10 minutes of editing. See Share, comment and export a page to restore one.

Mention people, tasks and pages

  • @ mentions a person or a task. The person gets a notice in their Inbox (and by email, if they have it on).

  • # links a project.

  • [[ links another page. That page shows Mentioned in at the bottom, so you can go back.

Turn checkboxes into tasks

Checkboxes in a page are just checkboxes until you decide otherwise:

  • Hover over a checkbox and tap Make task. Choose the project, the assignee and the due date. Zolu suggests the date if you wrote it ("call John Ready on Friday"). On your phone, Make task is always shown next to each checkbox.

  • Select text and choose Make a task from this.

  • To convert many at once, open the page's … menu → Extract tasks (up to 50 at a time).

New tasks go to the project's first column. From then on, the task is in charge: completing it on the board checks the box in the page, and the other way around. The task shows In docs with a link back to the page.

The Task list block shows a live list of tasks: Mine, This week or All, open or done.

Using a template or importing a page never creates tasks on its own. You decide which checkboxes become tasks.
